We ask that you carefully read through our booking terms & conditions before reserving a property with Bella Vita Italia, LLC (“BVI”).
Making a Reservation & Payment
We ask that you contact us either by request form or via email with your name, requested property, dates and number of guests, so we can then confirm availability and price. Pricing will be given in Euro and will be converted into dollars on the invoice(s). Prices are quoted in Euros and invoiced in US Dollars at the daily exchange rate of our bank, Bank of America.
Upon agreement to reserve a property, we will forward you a booking form to be completed and return to us along with a copy of your passport and the deposit (normally 30% with a few exceptions for which we will advise you ahead of time). These are due within 72 hours of making your reservation.
The balance is due 90 days prior to your arrival date. Late payment can results in penalty fees and/or cancellation of the rental agreement without refund. Any bookings within 90 days of arrival are to be paid in full.
BVI will provide you with a confirmation voucher, including directions and any other pertinent instructions for the house after the balance has been paid.
Payment can be made by check in US Dollars, wire transfer or credit credit via Pay Pal. There is a 3.5% processing fee applied to payments by credit card or Pay Pal and a $25 banking fee for wire transfers.
Your rental and services with BVI are not secured until we have received both the agreement and deposit.
Cancellation by Client & Refund Policy
Cancellations must be received in writing and the following refunds/policies apply without exception:
- More than 90 days prior to arrival date: 30% of total amount + any banking fees incurred
- 89-61 days prior to arrival date: 50% of total amount + any banking fees incurred
- 59-31 days prior to arrival date: 75% of total amount + any banking fees incurred
- 30 days or less prior to arrival date: Full amount of rental + any banking fees incurred
If you change your dates, this becomes a new rental. Your deposit is subject to the cancellation conditions as listed above.
Cancellations/Alterations by Bella Vita Italia
In the unlikely event, BVI must make any changes to confirmed arrangements, we will advise you at the earliest possible date. If, for any reason beyond our control, we are unable to provide you with the property you have booked, we reserve the right to transfer you to a similar property. The price difference, if greater, must be paid by you, and, if smaller, will be reimbursed by us. If this is not possible or you do not wish to be transferred, we will cancel the booking and refund the entire amount paid to us. We will not be liable for any further obligations or claims by you.
We cannot stress enough the importance of having travel insurance. There is always an element of risk when traveling and we want to make sure you are covered should any unexpected cancellation or emergency happen. Additionally, a few of our properties actually require a policy number in order to reserve. We recommend using www.squaremouth.com to compare and secure the best plan for you.
Number of Guests
The number of persons staying at the property at all times (adults and children) may not exceed the maximum number indicated in the property description. We require a photocopies of the passport of the person booing the property.
Arrival and Departure Times
The check-in time is generally between 4:00 – 7:00PM. Exceptions will be made if possible. We asked that you confirm a time at least two weeks before your arrival date. Some properties require a late check-in fee if you cannot/do not arrive in the given arrival time period. Check-out time is by 10 am the day you depart.
The security deposit is usually paid in cash to the owner/property manager/greeter upon check in unless otherwise stated in the property description or another agreement has been made between BVI, the owner and the client. If the deposit is not paid upon arrival, access to the property may be refused. The security deposit is refundable less any damage to the home, additional expenses for the house (i.e. – use of cell phone, cleaning fees) and lost keys.
A final cleaning applies to many of properties and will usually be taken out of the security deposit. In some cases the final cleaning fee is included as stated in the individual property descriptions. The property will be clean thoroughly before your arrival and must be left clean throughout by you at the end of the rental period. Additional cleaning charges may be assessed against the Security Deposit if the home is not left in reasonable condition in the opinion of the owner or local BVI representative.
It is common to pay separately certain utilities (i.e. – electricity for air-conditioning, heat in the winter). They are usually metered (and in some cases a per day fixed price) and to be paid in cash upon departure.
If the property comes with a land line, all telephone line charges (phone, fax or internet) will be your responsibility. Long distance charges must be put on a credit card, calling card, phone card or similar billing method. Direct-dialing long distance calls from the house will result in our holding your Security Deposit for up to 8 weeks.
The person signing the Booking Form is responsible for the correct and decent behavior of his/her party. Should the person and his/her party behave in such a manner that is not acceptable, the owner or local BVI representative may ask the person and his/her party to vacate the house without compensation.
The properties represented by Bella Vita Italia, LLC have been personally inspected and descriptions of locations and accommodations provided are as accurate as we can make them. Modifications to the property are the sole right of the property owner and Bella Vita Italia, LLC declines all responsibility for these modifications made by the owners without our knowledge.
Please keep in mind that the properties offered by Bella Vita Italia, LLC are private homes and do not necessary have all the amenities and/or services of a hotel, bed and breakfast or resort. Additionally, these structures reflect the local traditions and personal taste of the owners.
Any problems/complaints of the property should be communicated directly to the property owner or his/ her representative prior to the renter’s departure from the property. Bella Vita Italia, LLC is only an agent for the property and therefore has no authority to make settlements. Complaints issued after the renter’s departure will not be considered, nor will give rise to any indemnity.
Guests should exercise caution and respect when staying at a rental property. In no event shall Bella Vita Italia, LLC or its partners (i.e. – property owner, greeter, property management, cleaning staff) be liable for any missing items, theft, damages whatsoever, including without limitation, incidental and consequential damages, delays, loss, injury, death, expectations, health related problems, or accident which may occur to persons or property nor do we accept liability for cancellations resulting from “force majeure”, that is events which could not have been avoided even with all due care (natural disaster, war acts, terrorism, etc.).
By signing and submitting your booking form, you acknowledge the booking conditions of your specific rental property and confirms that all the people named on the booking form accept them without reservation or exception. Bella Vita Italia, LLC, accepts no responsibility for any unauthorized actions or omissions on the part of the property owner. The booking agreement is governed by the laws in the state of California.
